Most owners don’t switch vacation rental managers because of one bad weekend. It’s the slow build-up: statements that are hard to read, a calendar with gaps in peak season, repairs that take too long, or calls that don’t get returned. If that sounds familiar, switching is usually easier than owners expect, as long as you time it right and protect your bookings. Here’s how to do it.

Signs it may be time to switch

  • Your summer weeks aren’t full, or rates look the same in July as in May.
  • Owner statements are late, unclear, or don’t match what you see on Airbnb and Vrbo.
  • Maintenance issues come back from guests before you hear about them from your manager.
  • Reviews mention cleanliness or check-in problems more than once.
  • You can’t easily see where guest deposits and your rental income are held.

Step 1: Read your current agreement

Find three things before you do anything else:

  • The termination clause and notice period. Many agreements require written notice, often 30 to 90 days.
  • What happens to future bookings. Some managers keep the reservations (and their commission) on stays already booked. Others transfer them.
  • Who owns the listings. If your Airbnb or Vrbo listing sits in the manager’s account, its reviews may not move with you. Ask early.

Step 2: Time it for the off-season

In Ocean City, the best window to switch is fall through early winter. Fewer stays are in progress, and a new manager has time to set up pricing, photos and listings before summer booking season starts. Switching in June or July is possible, but it carries more risk to peak-season guests.

Step 3: Line up the new manager first

Before you give notice, make sure the new manager has:

  • Reviewed your home and given you a clear earnings estimate.
  • Explained how they handle cleaning, maintenance, guest communication and owner statements.
  • Confirmed how rental income and deposits are held. Trust accounting keeps owner funds separate from the manager’s operating money.
  • Agreed on a start date that matches your notice period.

Step 4: Protect your existing guests

Get a full list of future reservations with dates, amounts paid and guest contact details, and agree in writing who hosts each one. Guests should never feel the switch. The handoff of door codes, Wi-Fi, parking passes and house instructions should happen before the first stay under the new manager.

Step 5: Collect your money and your records

  • Any owner funds and refundable guest deposits being held for you.
  • Your rental license and lodging tax account details. Make sure they’re in your name, and confirm who files going forward.
  • Keys, fobs, parking passes, codes and vendor contacts (HVAC, pest control, pool, HOA).
  • Past statements and tax documents for your records.

Step 6: Relaunch strong

A switch is a chance to refresh the listing: new photos, updated descriptions and pricing that responds to OC demand like summer weekends, holidays and big event weekends. Most owners see the biggest difference in the first full season.

Frequently asked questions

Can I switch vacation rental managers in the middle of the season?

Yes, but it’s riskier. Fall and early winter give the new manager time to set up before summer bookings peak.

What happens to bookings I already have?

It depends on your agreement. Some managers transfer future reservations and others keep hosting stays booked before the switch. Get a written list and agree on who hosts each one.

Will I lose my Airbnb reviews if I switch?

If the listing is in your own account, the reviews stay with it. If it’s in your manager’s account, the reviews may stay with them. Ask about this before you give notice.

How much notice do I need to give?

Check your management agreement. Notice periods vary, often from 30 to 90 days, and usually must be in writing.
